Sending Bulk Emails

Skillsheet includes a full email outreach system so you can contact candidates at scale without leaving the platform. The Inbox section in the sidebar is your hub for composing messages, managing replies, and tracking campaign performance.

Accessing the Inbox

Click Inbox in the left sidebar to open the email center. The Inbox is divided into three tabs:

  • Sent — View all emails you have sent, along with their delivery and engagement status.
  • Replies — See candidate replies organized by conversation thread.
  • Drafts — Access saved drafts that have not yet been sent.

Composing a New Email

To send a new email:

  1. Click the Compose button in the top-right corner of the Inbox.
  2. Add recipients by searching for candidates by name or email. You can add multiple recipients.
  3. Enter a Subject line.
  4. Write the Body of your email. The editor supports basic formatting: bold, italic, links, and bullet points.
  5. Review your message and click Send.

Personalization Variables

You can insert dynamic fields into your email that are automatically replaced with each recipient’s information:

  • {{first_name}} — The candidate’s first name
  • {{last_name}} — The candidate’s last name
  • {{job_title}} — The candidate’s current job title
  • {{company}} — The candidate’s current company

These variables work in both the subject line and the email body.

Using Email Templates

Templates save time when you send similar messages frequently.

Creating a Template

  1. Go to Inbox > Templates (accessible from the top navigation within the Inbox).
  2. Click New Template.
  3. Enter a template name, subject line, and body content.
  4. Use personalization variables as needed.
  5. Click Save Template.

Using a Template

  1. Start composing a new email.
  2. Click the Use Template button in the compose window.
  3. Select a template from the list.
  4. The subject and body fields are populated with the template content. You can edit them before sending.

Sending to Multiple Candidates

There are two ways to send bulk emails:

From the Inbox

  1. Click Compose.
  2. In the To field, add multiple recipients by searching and selecting candidates one by one, or click Import from List to add all candidates from a saved list.
  3. Write your message (using personalization variables for a tailored touch).
  4. Click Send. Each recipient receives an individual email — they cannot see other recipients.

From Search Results or Pipeline

  1. Select multiple candidates using the checkboxes.
  2. Click Bulk Actions > Send Email.
  3. The compose window opens with the selected candidates pre-filled as recipients.
  4. Write your message or apply a template, then click Send.

Email Tracking

Skillsheet automatically tracks engagement on every email you send. On the Sent tab, each email displays:

  • Delivered — The email was successfully delivered to the recipient’s inbox.
  • Opened — The recipient opened the email (tracked via a pixel).
  • Clicked — The recipient clicked a link in the email.
  • Replied — The recipient sent a reply.
  • Bounced — The email could not be delivered (invalid address or full inbox).

Campaign Summary

When you send a bulk email, Skillsheet groups the sends into a campaign. Click on any campaign in the Sent tab to see aggregate statistics:

  • Total sent, delivered, opened, clicked, replied, and bounced counts
  • Open rate and click rate percentages
  • A per-recipient breakdown showing individual engagement

Reply Handling and Inbox Management

When a candidate replies to one of your emails, the reply appears in the Replies tab. Replies are threaded by conversation so you can see the full exchange.

To respond to a reply:

  1. Click on the conversation thread.
  2. Type your response in the reply box at the bottom.
  3. Click Send.

You can also:

  • Archive a conversation to remove it from your active inbox.
  • Star important conversations so they are easy to find later.
  • Mark as unread if you need to come back to a reply.

Email Usage and Credits

Sending emails consumes credits based on your subscription plan. The credit cost per email depends on your plan tier. You can check your remaining email credits in Account Settings > Billing.

If you run out of email credits:

  • Upgrade your plan for a higher monthly email allowance.
  • Purchase an add-on credit pack from the billing page.
  • Wait for credits to reset at the beginning of your next billing cycle.

Before sending a bulk email, Skillsheet displays the total credit cost so you can confirm before proceeding.

Best Practices for Recruiter Outreach

  • Personalize your messages. Use personalization variables and reference specific details about the candidate’s background. Generic messages get lower response rates.
  • Keep subject lines short and specific. Aim for under 60 characters. Mention the role or a relevant detail.
  • Send at optimal times. Emails sent Tuesday through Thursday between 9 AM and 11 AM in the recipient’s time zone tend to perform best.
  • Follow up. If a candidate does not reply within a week, a polite follow-up can significantly increase your response rate.
  • Respect opt-outs. If a candidate asks not to be contacted, remove them promptly. Skillsheet tracks opt-out requests automatically.
  • Test before sending at scale. Send yourself a preview email to check formatting and personalization before launching a large campaign.
