Organizing Candidates into Lists
Lists in Skillsheet let you group candidates into named collections for easy reference, collaboration, and bulk actions. Whether you are building a talent pool for a future role, tracking candidates from a sourcing sprint, or sharing prospects with a hiring manager, lists keep everything organized.
Creating a New List
- Click Lists in the left sidebar.
- Click the + New List button.
- Enter a name for the list (e.g., “Senior Engineers - Q1 Pipeline” or “Fintech Product Managers”).
- Optionally add a description to help teammates understand the purpose of the list.
- Click Create.
Your new list appears in the Lists sidebar and is ready to receive candidates.
List Naming Tips
- Use descriptive names that include the role, location, or sourcing context.
- Include dates or quarters if the list is tied to a specific hiring cycle.
- Avoid generic names like “My List” — they become hard to distinguish as your list count grows.
Adding Candidates to Lists
You can add candidates to a list from several places in Skillsheet:
From Search Results
- Run a candidate search.
- Select one or more candidates using the checkboxes on their cards.
- Click Bulk Actions > Add to List.
- Choose the target list from the dropdown, or create a new one on the spot.
- Click Add.
From the Pipeline
- Open a candidate’s profile in the Pipeline.
- Click the Add to List button in the candidate’s action bar.
- Select the list and confirm.
From a Candidate Profile
- Open any candidate’s full profile.
- Click Add to List in the top-right action menu.
- Select one or more lists and click Save.
Manually
- Open a list from the Lists sidebar.
- Click the + Add Candidate button within the list.
- Search for the candidate by name or email.
- Select the candidate and click Add.
A candidate can belong to multiple lists at the same time.
Tagging Candidates with Custom Labels
Tags provide an additional layer of organization within and across lists. Use tags to mark candidates with custom labels like “strong communicator,” “needs visa sponsorship,” or “referred by team.”
Adding Tags
- Open a candidate’s profile (from a list, search, or pipeline).
- In the Tags section, click + Add Tag.
- Type a tag name. If the tag already exists, select it from the autocomplete suggestions. Otherwise, a new tag is created.
- Press Enter or click Add.
Bulk Tagging
- Select multiple candidates in a list or search results.
- Click Bulk Actions > Add Tags.
- Enter one or more tags and confirm.
Removing Tags
Click the x next to any tag on a candidate’s profile to remove it. Tags that are no longer attached to any candidate are automatically cleaned up.
Viewing and Filtering Lists
Open a list by clicking its name in the Lists sidebar. Within a list, you can:
- Search — Use the search bar at the top of the list to find candidates by name, skill, or keyword.
- Filter by tag — Click the Tags filter to show only candidates with specific tags.
- Filter by location — Narrow the list to candidates in a specific city, state, or country.
- Sort — Sort candidates by date added, name, or match score (if applicable).
The filter and sort controls appear in the toolbar above the candidate cards within the list view.
Sharing Lists with Team Members
Lists can be shared with other Skillsheet users in your company:
- Open the list you want to share.
- Click the Share button in the top-right corner.
- Search for team members by name or email.
- Select the permission level:
- View — The team member can see the list and its candidates but cannot make changes.
- Edit — The team member can add or remove candidates, apply tags, and modify the list.
- Click Share.
Shared lists appear in the recipient’s Lists sidebar under a Shared with Me section.
Revoking Access
To remove a team member’s access:
- Open the list and click Share.
- Find the team member in the sharing list.
- Click Remove next to their name.
Bulk Operations on Lists
Select multiple candidates within a list to perform bulk operations:
- Send Email — Open the bulk email composer with selected candidates as recipients.
- Add to Pipeline — Move selected candidates into a hiring pipeline for a specific position.
- Add Tags — Apply tags to all selected candidates at once.
- Move to Another List — Transfer candidates to a different list.
- Remove from List — Remove selected candidates from the current list (this does not delete the candidates from Skillsheet).
- Export — Download selected candidates’ information as a CSV file.
To select all candidates in a list, use the Select All checkbox at the top of the candidate list.
Removing Candidates from Lists
To remove a single candidate:
- Open the list.
- Hover over the candidate’s card.
- Click the Remove icon (trash icon) on the right side of the card.
- Confirm the removal.
To remove multiple candidates:
- Select candidates using the checkboxes.
- Click Bulk Actions > Remove from List.
- Confirm the removal.
Removing a candidate from a list does not delete them from Skillsheet or remove them from other lists or the pipeline. It simply removes the association with that particular list.
Tips for Using Lists Effectively
- Create lists by purpose, not just by role. For example, maintain a “Passive Talent Pool” list alongside role-specific lists.
- Use tags to add context. Tags like “warm lead,” “previously contacted,” or “conference attendee” make it easy to filter and prioritize later.
- Share lists with hiring managers. Give them view access so they can review candidates without disrupting your workflow.
- Clean up regularly. Archive or delete lists that are no longer active to keep your sidebar manageable.
- Combine lists with pipeline. Use lists for early-stage sourcing and organization, then move qualified candidates into the pipeline for active tracking.
